Bergen Community College has an opportunity for an Executive Secretary to provide high level administrative support to the Executive Director of Finance and maintain the successful workflow of the daily operations of the Finance Department. This position will serve as a liaison between the Executive Director of Finance and the college wide community, as well as government officials and community and requires understanding of issues related to policy, procedures and confidential matters. Responsibilities include but are not limited to maintaining calendars, coordinating meetings and travel arrangements; maintaining and updating files and electronic databases; preparing correspondence; creating general reports; assisting with budget entries, accounting, and analysis of accounts; assisting with preparing complex financial reports and performing additional tasks as assigned by the Executive Director of Finance.
Required: Minimum of 2 years of college, business or secretarial school; Bachelor’s Degree preferred. 7 years of progressively responsible secretarial or related experience. Must possess a strong level of organizational, interpersonal, written and verbal communication skills; Must be driven to provide excellent customer service with ability to handle inquiries of diverse and multicultural students, staff, faculty and visitors with sensitivity and diplomacy; Ability to work in a fast-paced environment doing multiple tasks and projects while attending to the immediate needs of members of the campus community and demonstrates understanding of the community college mission and practices an open door policy; Detail oriented self-starter, ability to work independently with little to no supervision and as a team in a collaborative manner; Must have excellent computer skills, including proficiency in MS Office (MS Word, Excel, PowerPoint); Must possess the ability to work with an administrative database computer system such as DATATEL/Colleague; Must have ability to exercise good judgment, as well as, ability to understand and follow established protocols; Must be able to do light lifting of small deliveries. Must have ability to work flexible hours including some evenings when needed.
