Bergen Community College has an opportunity for a Senior Secretary to provide high level administrative support for the Health Professions programs in compliance with accreditation standards. Responsibilities include but are not limited to serving as liaison for the programs and maintaining confidentiality of all records and issues handled in the assigned areas; assisting with preparation of accreditation documents, reports and site visits; managing high volume of phone calls and providing program information to those interested in Health Professions programs; preparing and sending faculty schedules; management of adjunct faculty lists and records; recording time and attendance for faculties/staff; preparing business correspondence, presentations, reports flyers and website publications; filing and managing files; processing purchase orders and coordinating with Buildings and Grounds for work orders; conducting inventory and replenishing stock for supplies, including equipment operation and repairs; maintain vendor resource base; calendar management for all programs; collaborating with program leadership to monitor Health Professions program website; coordinating and assisting with preparation for meetings, events, ceremonies and conference calls; performing additional duties as assigned.
Required: High School Diploma is required; Post-secondary vocational training in office administration or college degree is preferred. Five years of secretarial experience or an equivalent combination of education/experience required. Knowledge of health professions is preferred. Must have excellent computer skills, including proficiency in MS Office (MS Word, Excel, PowerPoint) and possess the ability to work with an administrative database computer system such as Datael/Colleague. Must exhibit strong skills in customer and student centered communication; must possess a strong level of organizational, interpersonal, written and verbal communication skills; must be driven to provide excellent customer service with ability to handle inquiries of diverse and multicultural students, staff, faculty and visitors with sensitivity and diplomacy; must have ability to work in a fast-paced environment doing multiple tasks and projects while attending to the immediate needs of members of the campus community; must be detail oriented self-starter with the ability to work independently with little to no supervision and as a team in a collaborative manner. Must have ability to exercise good judgment, as well as, ability to understand and follow established protocols; must have a positive attitude with demonstrated ability to prioritize. Must be able to do light lifting of small deliveries. Must have ability to work flexible hours including some evenings when needed.
